Collaboration tools such as Figma are intended to enhance workflows and foster creativity within teams, but they can also have a downside: excessive input from too many people can lead to confusion, constant edits, and a diluted vision. With many contributors jumping into the same design, every member had an opinion and editing abilities, which often led to overwhelming and conflicting ideas. The clean, polished design became a cumbersome patchwork due to various unsolicited tweaks. It’s almost humorous how hours can be wasted arguing over whether a button should be blue or green when, ultimately, the decision rarely affects anyone besides the small group debating it.

Figma’s design readily facilitates inputs, but not everyone’s suggestions are valuable or constructive. Many times, feedback is vague and unhelpful, leaving you to decipher what exactly is being critiqued. Comments like “I don’t like this” or “Make it pop” can be frustrating when they lack specificity.

After facing one chaotic project too many, it was clear that modifications were needed. I began to establish rules—not out of desire for control, but from a genuine wish to enhance productivity and quality in our output.

Firstly, only those directly involved in design should have editing access. Non-designers are welcome to provide feedback but should keep interaction limited to commenting and suggesting rather than editing. Feedback comments must also be clear and constructive; vague remarks need to be replaced with perceived specifics.

I also instituted a rigorous file organization system. Projects now follow naming conventions, obsolete versions are archived, and the “final” file cannot be altered without a thorough justification. While it may seem excessively meticulous, these practices drastically reduce confusion.

To manage feedback efficiently, we moved from spontaneous critiques to scheduled sessions. Coming together for targeted discussions prevents relentless revisions and protracted debates. An asynchronous feedback model—where individuals leave thoughts on their own schedule—has proven particularly effective, allowing more nuanced and thoughtful responses.

Ultimately, the issue lies not in Figma itself but in the approach we take toward it. Figma, like any tool, has the capacity to create outstanding results in capable hands. It can also lead to chaotic situations if left unchecked. By implementing boundaries and keeping everyone aligned, we can harness its power while minimizing confusion.
